Analog Room

Venue Rental Terms & Conditions

Effective Date: October 1, 2026

Thank you for choosing Analog Room for your gathering. We look forward to welcoming you and your guests to our space in the heart of East Austin.

These Rental Terms & Conditions outline our booking policies, payment requirements, and expectations for using the venue. Please review them before confirming your reservation.

1. Reservations & Booking Confirmation

All event rentals are subject to availability and approval by Analog Room.

A reservation is considered confirmed only when:

  • Event details, including date, time, rental areas, and pricing, have been agreed upon in writing.

  • The required deposit or full rental payment has been received.

  • The renter has acknowledged and accepted these Rental Terms & Conditions.

An inquiry, verbal agreement, or tentative date hold does not constitute a confirmed reservation.

Analog Room reserves the right to decline events that are inconsistent with the venue's permitted use, capacity, safety requirements, or operational policies.

2. Payment Terms

A deposit equal to 50% of the total rental fee is required to secure the reservation.

The remaining balance is due seven (7) calendar days before the event.

For reservations made within seven days of the event, payment in full is required at the time of confirmation.

For rentals totaling $300 or less, payment in full is required at booking.

Payments are processed securely through Stripe or another approved payment method.

The booking deposit is applied toward the total rental fee and is subject to the cancellation policy below.

Failure to pay the remaining balance by its due date may result in cancellation of the reservation, subject to the cancellation terms.

Applicable taxes and agreed additional charges will be disclosed in the booking proposal.

3. Cancellation & Refund Policy

We understand that plans sometimes change. The following cancellation policy applies to all direct bookings:

30 or more calendar days before the event: Full refund of rental payments received.

14–29 calendar days before the event: Refund of 50% of rental payments received.

Fewer than 14 calendar days before the event: No refund.

All cancellations must be submitted in writing by email. The date Analog Room receives the cancellation request determines the applicable refund.

Approved refunds will be issued to the original payment method, generally within 10 business days, although processing times may vary by financial institution.

4. Rescheduling

We understand that unforeseen circumstances can affect event plans.

One rescheduling request may be accommodated at Analog Room's discretion, subject to availability.

Requests must be submitted in writing at least 14 calendar days before the scheduled event.

If approved, payments already received may be transferred to a new event date occurring within 90 days of the original reservation.

Rescheduling requests made fewer than 14 days before the event may be treated as cancellations under the cancellation policy.

Any change in rental duration, services, or pricing must be agreed upon before the new date is confirmed.

5. Rental Hours, Setup & Breakdown

Your reservation includes access to the agreed rental areas during the specified hours.

All activities, including vendor arrivals, decorating, setup, the event itself, cleanup, and departure, must occur within the reserved time.

Additional time may be purchased in advance, subject to availability.

Unauthorized use beyond the confirmed rental period may result in additional charges at the agreed hourly overtime rate, calculated in 30-minute increments.

Please coordinate any early deliveries, equipment drop-offs, or special setup requirements with Analog Room in advance.

6. Rental Areas & Shared-Space Use

Analog Room offers full-venue rentals and rentals of designated individual spaces, including the Quiet Room.

Full-venue rentals provide private use of the agreed event areas during the reserved period, subject to any exclusions noted in the booking confirmation.

Individual room rentals provide access only to the specified room and any designated shared facilities. Other areas of Analog Room may remain open to members, guests, or other scheduled activities.

Renters and their guests must respect the boundaries of their reserved areas.

Analog Room staff or authorized representatives may enter rental areas when reasonably necessary for safety, maintenance, operational support, or emergencies.

The renter or a designated responsible representative must be present throughout the event.

Children must be supervised by a responsible adult.

All guests must comply with venue rules and instructions related to safety, conduct, and use of the property.

Analog Room may require an event or activity to stop if it presents an immediate safety risk or violates applicable law.

All caterers and outside vendors must be identified in advance.

Renters are responsible for coordinating catering deliveries, setup, service, and removal within the reserved rental period.

Any special cooking equipment, open heating elements, or food preparation activities require advance written approval.

Analog Room may offer nonalcoholic beverages or other refreshments through arrangements agreed upon before the event.

9. Alcohol Policy

No alcoholic beverages may be brought onto the premises, sold, served, or consumed without prior written authorization from Analog Room.

Any proposed alcohol service must comply with applicable Texas Alcoholic Beverage Commission requirements, property restrictions, and any relevant licensing or permit conditions.

Analog Room reserves the right to prohibit alcohol at any event.

All decorations and rented items must be removed before the end of the booking.
